What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier's goal is to enable automation for any process, allowing users to visualize and build advanced workflows with custom logic, conditions, and filters, with no code needed. Some features include:

I use it for lead forms that come in through google ads. The data from the form arrives comfortably to my e-mail. It also helps me when capturing variables in the url and filling them in the fields of each contact form in ActiveCampaign. Zapier makes every automation you need easy to configure and very intuitive.

  • Limited Editing Capability: Sometimes after creating a Zap and wanting to edit it, it may be necessary to re-create the entire Zap from scratch

  • If you have a high volume of tasks or zaps, the price may be somewhat high
Zapier helps my small business where we have time and resource constraints. I can automate repetitive tasks such as contact management, leads, etc. I see it less appropriate in complex projects that require complete customization or personalized integrations. In these cases, I resort to other types of more advanced tools or to the programming department

Zapier helps in updating the leads on Google Sheets in real-time which makes it super easy to reach out to the customers and the total number of leads received on a particular day without updating them manually.

We use Zapier across our entire company to automate our recurring tasks as well as any manual task that Zapier supports. The problem that it solved is time lost in entering data into different systems and also time lost due to copying information from one system to another system. This allowed us to keep using our existing systems and connect them which saved us money as compared to moving to an entirely new system that requires deployment and configuration and customization as well as save us time in data entry.

Zapier is the Swiss Knife every tech company should have. We use it particularly in the marketing department where we implement a lot of growth experiments and marketing automations. Before using Zapier we needed to wait until the developers team had time to implement our proposals, but nowadays we just run MVPs with Zapier for basic backend functions. If the growth or automation MVP is successful we can do 2 things: 1st it can keep running with Zapier, 2nd we ask the developers team to implement the feature that we already know is a successful feature. We use it from simple tasks like activating welcome emails, to almost building a mini CRM for certain apartments just with Zapier.
  • Zapier can integrate perfectly with almost every single app or service out there
  • Even if an integration is not developed you can always use the global integrations to connect with webhooks, emails, parsing, and build from zero your own custom integrations (you need more tech knowledge)
  • Zapier can run as fast as real-time, and with one of the paid options it gives you more than 75,000 tasks which is really good. They also have the free version which runs I think every 15 minutes and it has 100 tasks which is not bad for testing purposes. Actually, a few companies nowadays offer this kind of free tier.
  • The builder nowadays is really easy and friendly to use, they have implemented advanced features as paths and decision points and they continuously improve the platform.
  • Sometimes 75,000 tasks are not enough (believe it or not), and after that point, you start to pay per task it would be nice if they would offer more tasks under the same plan price.
  • It's supposed to work in collaboration with your team, but I feel there is plenty of opportunities here.
  • They have user communities for advanced and new users, but I think it could be done better
We did a retention/engagement strategy for users, so a user signs up and does a Trip. We automatically send an email saying if he did a 2nd trip, and he will obtain a discount for the 3rd trip. Once he gets the coupon we encourage him to complete a 5th trip with a minor discount. For every 5, 10, 15, 20, 30, and 40 trips, we offer a coupon or reward. We look to at least take our users up to 20 trips, and after that, it has become a habit for the users to use our platform. If we go to trip number 40, then they are an ambassador. All the automation was done with Zapier as backend plus webhooks, google sheets, mailjet, and other tools.

Zapier is used for our most simple integrations and specifically for those were configuring for clients. Being in charge of all software/tools means that we’re often required to integrate the platforms we provide with the client's existing tech stack. A majority of these use cases are very simple configurations (I.e. converting a chatbot contact submission to a lead in CRM), which Zapier is perfect for. We are easily able to set the client upon a low-cost Zapier plan, make the simple configuration and know it will work.
Zapier is the perfect, affordable tool for simple integrations and triggers.

  • Limited ability to execute outside of the core functionality
  • Inability to run large-volume integrations at a competitive price point
Zapier is perfect for simple integrations and setting up generally low-volume accounts that require very little configuration and maintenance. For a distributed structure where a client/outside party is responsible for billing, it’s easy to create an account, put them on a low-cost plan, configure a simple integration and teach them how to alter the setup. Its webhook-based setup is perfect for many simple use cases and there’s no reason to use a more complex or expensive solution.
However, if you have integrations that are increasingly complex (involve parsing, multiple non-linear steps, the integration of non-native APIs), significant in overall volume/data or require additional features (time delays for API limits), Zapier likely isn’t your best choice. Other integration platforms offer higher levels of customization and capability, though they’re typically significantly more complex and expensive.

Zapier connects the many tools we use in our business quickly and easily ensuring that our data is easily accessible. Many tools offer native integrations with each other, but there are so many pieces of software that when there isn't a native integration, Zapier comes to the rescue to ensure we can share data back and forth.

  • Easy for non-developer team mates to setup integrations with on their own
  • Pricing is high depending on use case
  • Related to the above, if an app does not have the best trigger or action setup, it might take 2-3 zaps to accomplish what should really be a single zap, and this would could be prohibitively expensive, costing even more per month than the software tools themselves you are connecting
Zapier is great at what it does. Competitors have cropped up over the years, but Zapier's integrations are generally the most well done since they are done by each app's development team directly, rather than a third-party that might not keep up with the app platform's latest features.

If a service already offers a native integration with the other service you need to connect, there is no point in using Zapier, but with tens of thousands of popular software tools out there, it isn't possible for every SaaS to integrate with every other, thus the need for Zapier.

Our IT team used Zapier to build a connection between some applications we use daily to transfer data between those apps when certain conditions are triggered. And I must say automating certain parts of our workflow like that has saved my team a lot of time and effort. Prior to using Zapier all of that used to be a manual effort so it has freed up a decent chunk of time for our team to focus on other more important items. I also used Zapier in a similar capacity at a previous organization I worked with so I recommended our IT team to explore this and they tell me it was really simple to set it up and deploy it.
  • It is very easy to set up. Even for internal applications, you can get it up and running really quickly.
  • Automation rules are easy to create and deploy.
  • It is very reliable. I have never had it miss a trigger so far. Not a single crash.
  • Works with a majority of big apps like Gmail, etc.
  • For some applications, you will need an IT or Development team to work with the API. Not exactly plug and play.
  • I always found the pricing a little confusing.
If there are parts of your daily workflow that you feel could use automation, I cannot recommend Zapier enough. You will need a little imagination to set up the automation and you might need the help of a developer to use the API but once it's set up, trust me, you will not want to go back. Plus some of the Zaps are basically plug and play so if you are using stuff like Google Forms, Sheets or Excel, etc. you can set it up yourself very easily.

We are using Pardot (Salesforce) and there's no way to automagically capture the Lead from FB Lead Form to Pardot hence where Zapier comes in. Not just that, after creating the prospect in Pardot via Zapier, we send the lead an SMS with a Bitlink link to confirm their registration. The link that we send to the lead is unique as aside from the usual UTM Parameter, we also send the Name, Email and Phone number so that when they land on the landing page for registration confirmation, they don't have to re-enter their basic details. We use this to increase our MQL.

Zapier is one of my favorite tools! We use it to automate just about everything from sending emails to posting on social media and moving/copying data. It helps us to automate tasks and save us time. Zapier has basically become an extra teammate for us, and at way cheaper cost.
  • Zapier layout is super easy to use.
  • You do not need to have coding experience.
  • Price is a no brainer for the savings in time.
  • If there are errors or a zap does not work, it can be difficult to figure out what the problem is.
  • I would like more notifications about when zaps run and what they do.

If you want to connect for instance Facebook forms or linkedin forms to your CRM (Salesforce for example) , it is the most appropriate tool to get all your leads directly into it without typing anything.

You can update your leads in both ways from your automation tool and CRM.

Zapier is being used across the entire organization by multiple departments including finance, operations, sales, marketing, product & engineering. Zapier allows us to connect the different systems used across the organization, to transfer relevant data between these systems and enable different actions to be taken. Specifics problems addressed include data visibility, data mobility, workflow efficiency and creation.
  • Ease of use - multiple people in the organization can set up and run Zaps per their specific use cases without much training.
  • Connectivity - Zapier is able to connect to multiple applications we use on a regular basis.
  • Functionality - Zapier provides embedded functionality within the app itself (email, data conversion), but also appropriate triggers and actions for apps it connects to.
  • Versatile - Zapier can execute complicated and simple tasks and thus has many use cases.
  • Complexity - due to the flexibility it provides, this can introduce some complexity across the different steps being set up operationally.
  • Dependence - depending on the use case Zapier becomes a key tool and dependency and thus needs to be monitored, without internal control to fix things. If Zapier goes down (rarely, but can always happen), then this could present a problem.
  • Variability in pricing - pricing relies on the numbers actions being triggered and depending on how you've set up the zap, it could increase quickly, and thus needs to be monitored and understood.
Zapier has been great for us in many instances and allows us to create operational workflows and processes very quickly and without reliance on limited engineering resources. We've used Zapier to:
  • Highlight key activities in business (new sign ups, missing information, cancellations, key successful events of our users).
  • Post key events, as above to Slack or Email.
  • Efficient updating of parts of our in-house built applications and many more.
The simpler the process the better. If the process is more complicated with many conditions, then lots of thought and planning is needed prior to building and implementing a zap.

Zapier is used by a variety of my clients. It is the first option that we look at when trying to connect one or more pieces of software. It has really cut down on the number of custom APIs that we've had to build.
  • Zapier does a great job connecting multiple platforms to the CRMs that we use such as Keap and ActiveCampaign.
  • Zapier is easy to explain and set up for our clients.
  • Zapier allows our team to pay more attention to strategy than development.
  • I think the pricing structure could be made more clear to users.
  • Definitely more access to additional integrations and more options within those integrations would be helpful.

We use Zapier to connect our cloud software and automate repetitive tasks. Our whole team uses it, and it makes it possible for our small team to handle a lot of different types of work.
Some of the most common things we do with Zapier include automated notifications to our company Slack for important notifications and new sales leads. We use it a lot to create tasks in Asana for reviewing new leads, partner applications, etc.
  • Quick to get started, and there are plenty of examples to follow.
  • Works with almost any program you use, either out of the box or via API.
  • Filters and branching help build logic into automations.
  • Finding and saving your Zaps can take some getting used to.
I would recommend Zapier for small teams where everyone is very hands-on and would be able to elevate an issue if something breaks. It's a great tool, but it's a little risky to rely on it for a lot of your internal processes, simply because you may not know if something has stopped working because of a software update or change in the integrations.
For small little fixes, personal productivity, and notifications/tasks it's a home run.

We first started using Zapier when we adopted a new internal ticketing system from FreshService. At the time, the FreshService product was in its infancy but offered a good cost/feature value. It did not, however feature a native iOS app and/or push notifications. We started using Zapier as an intermediary between FreshService and our separate 3rd party SMS platform to deliver service request notifications to agents based on pre-defined rules. Eventually FreshService deployed a native iOS app which obviated this need. However, we had since learned how easy it was to define Zaps to plug feature holes in various platforms or make disparate services talk to one another. Eventually we gave access to it to those outside of IT so that they could experiment on their own. Now the majority of our departments have at least some type of Zapier usage even if it's as basic as pushing timesheet status reminders.
  • Comprehensive list of modern available apps.
  • No knowledge of coding is required unless you are automating dev scripting.
  • Cheap and scalable. Pay for the number of Zaps you use and adjust pricing if usage changes.
  • There is always one obscure app that isn't in their native support list.
  • No two way workflows/active synchronization. Some rule based automations require external services like IFTTT.
  • No native iOS app.
For various systems, Zapier is excellent at delivering notifications or triggering reports based on scenarios (uptime notifications from Pingdom, PagerDuty notifications for unsupported systems). It is also excellent for creating tickets based on events (bug reports create and assign helpdesk tickets based on rules). Essentially when events occur Zapier is a quick way to create a workflow that automatically subtracts a few manual steps from normal behavior. That being said, since there is no two way sync or complex modifiers, it is not useful as a reporting or analytics replacement.

Zapier is connecting our Caspio Database with our email provider Mailchimp so that every time a new contact is added they are automatically added to our email. This has really made adding emails so much easier. It was difficult before using Zapier because it would not get done as efficiently. We also use it to take our Zoom webinars and add them to our Dropbox without having to do anything at all!

  • Sometimes it is hard to understand how to do what they suggest but they did answer email questions
  • There are just so many different ones to choose from that it's hard
Zapier is ideal for adding two apps together. It's very streamlined and makes it so easy to make it and forget it. It doesn't work as well with connecting social media platforms together but they are working on that. It has worked wonderfully when connecting our database and our email provider as well as Zoom and Dropbox.

Zapier helps us to route leads from various sources into one Sales funnel and distribute to our team appropriately. In addition, Zapier has helped us to automate routing leads through the appropriate steps in our sales funnel, reducing the human analysis that's required on each lead.

Zapier is an important tool to merge processes inside Kushki. We use different tools for different departments inside the organization and Zapier is the bridge to join and connect these tools. now Zapier is a decisive factor while we are choosing a tool if the tool does not have an integration with Zapier probably will not be selected. Zapier has been implemented in the operation team to automate a process like client affiliations catching the information throw forms, auto-filling documents and sending emails. Usually, automate this kind of task takes many hours of development but with Zapier just minutes. Probably if you have a process that involves some tools and areas could be automate using Zapier.

Zapier is suited when your process will be launched just few times, probably if you are a startup the cost to use Zapier in a high volume could be expensive. However, is cheaper than pay for development. The webhooks are very useful you can fire a workflow in Zapier from any system.

We use Zapier to connect our various tools and softwares. From our own proprietary CRM, to our B2C email database to our B2B marketing automation platform, to event marketing software, our tech stack is fairly fragmented. Zapier is an amazing tool that connects them all and shared information. Mainly our marketing team uses Zapier.

Zapier is a great product if you have a fragmented tech stack like ours. Most marketing teams have multiple software tools that get customer information. Zapier is a great tool for connecting those without using developer resources. But if you only have one central tool (like Hubspot) you probably won't need a tool like Zapier.

Zapier is being used by the technology department to assist the whole organization. We use Zapier to automate our social media postings to Facebook, Twitter, LinkedIn, and others, and also to automate our RSS feeds and comment feeds to individual Slack channels, and to sync data across our marketing and sales platforms.
  • Large library of apps: Zapier supports most major platforms and softwares.
  • Zapier has a user-friendly design, especially for beginners.
  • Helpful testing features: Zapier allows you to test all automations before going live.
  • For active Zaps, their error messaging is not great. It would be helpful to have more data on why a zap has failed.
  • When connecting accounts, I wish they would allow you to sign-in separately, instead of using the accounts you are currently signed in on in your browser.
  • Accounts will occasionally disconnect for an unknown reason.
Zapier is well suited for syncing data across your different systems. For example, if you need to sync contacts or leads between Salesforce and your email platform, Zapier is an excellent, user-friendly option. It is also well suited for automating social media postings. You can hook your website's RSS feed to Zapier and send all posts to any number of different social media accounts, all at once and automatically. You can even automate these posts to your Slack.
